League Secretary Questions

Our league sec. is not the most reliable guy. Many of our league bowlers asked me to step up to that position next year. The thing is, what does it all require. I know you enter the scores, post the sheets, and collect league fees. The thing that worries me is the money. I have no idea how to handle that part of it. Is a bank account needed for it? How do I pay the center or do they take a portion of the fees that night? For those that are league sec, please give me some insight on how you run you system.

I used to run several leagues. We banked through
the house (Brunswick center). I would give them
the whole amount, they would take the lineage and
deposit the rest into our league account, which at
the end of the year, the president and I could only
take the money out. If this is not a option, set up
an account at a bank, and deposit the league money
into it. The USBC will insure the account, if you
provide the necessary information and verifications.
Some house require two weeks lineage in advance, so
you might have to have the bowlers pay two weeks in
advance, say by the 5th week. You also have to take out
money for sanction fees, and create a budget and a prize
list for your league. There is more than meets the eye
and if your serious, drop me a a mail at my ballreviews
mailbox and I can provide more detail.

The only money that a League Secretary has to worry about is the sanction money.  I'm not totally sure how they handle getting the money to USBC...but I'm assuming that they would either right a check and deposit the cash into their own account or if they have an arrangement through the house to deposit the money and give them a check.

As far as paying the center and the officers (the "take a portion of the fees that night" that you refer to) that is the responsibility of the league treasurer (which I happen to be for my league).  The amount of money that the officers get paid is typically an amount per bowler / per night that comes out of the prize fund at the end of the year.  This amount is part of our league rules that are voted on each year.  

Prize fund and money for lineage to the house is another story.  There should be an agreement between the house and the league for the amount they are going to charge each bowler for lineage on a given night.  This amount is due to the house each night.  The remaining prize fund money should be deposited into an account (non interest) that is either a bank account in the secretary's and treasure's name or an account through the house if they offer the service.  Our house is an AMF house so my league has an account with the house.  It makes things much easier for me.

I am the secretary/treasurer on two leagues. I have been for several years.

Both of the leagues have established checking accounts at a local bank. I collect all the fees. At the end of the night, when I am assured that my books are balanced, I write a check to the lanes for the lineage. I make a deposit in the bank and the money remains there until our awards dinner. My fees can be taken out at any time but I usually take a draw for Christmas and then collect the remaining balance at the end of the year.

Two signatures are required for all checks. The house doesn't receive any thing other than their check. The lanes has offered "in house banking" but never complied with the ABC/USBC rules regarding how they were to do it. Most of the leagues in our house have opted out of in house banking.

I use a bowling league secretary program, Bowl101. It handles all the chores I need to do very well. I also made a spreadsheet to track finances.

I think everyone at one time should have the experience of being a secretary.  You will probably think twice before ever lambasting him or her again.  It is easier now because of the computer scoring but getting 50-100 adults to do their part is exasperating at times.

Thanks for the input guys. This would be a secretar/treasures job as well. The house manager has even said I should do it next year and I am also a teammate of the owner so I am sure if I can bank thru them they would handle the majority of it.

The thing that prompted this is the guy misses the first few weeks of league, is frequently late, has had numerous mistake in keeping averages and some USBC awards have been missed because of it. He takes a fee of $700-$1000 plus expenses. 2 years in a row he has over booked the league by an extra team. He has a banquet that runs approx. $5-7K. I know the lineage that we pay per bowler, and $4.50 of league fees goes to the league. We have 24 teams, 5 per team. Our highest payout last year was $100 per guy down to about $70 per guy..... Their is only about $10k that goes to the prize fund when their is almost $18k brought into the league (plus the linage). Granted it's a handicapped league and people are there for "fun".

If I am able to get the job I would bring to a vote the banquet, lower the secretary fee by half at least and that would include the expenses. I wouldn't even mind raising the league fee by $3 to generate more prize money. Also my records keeping is a heck of a lot more accurate then a breifcase with notes all over it.

$5-7K for the banquet???  24 teams times 5 men each is 120 people.  $5K for a banquet is $50+ each.  What are y'all eating?

I'd eliminate the banquet altogether unless it's really popular.  We get more than that out of a smaller prize fund and fewer teams.

We have a pot luck dinner for our banquet, which is held on the last night of leaque. We also have a large prize fund.
